Booking and availability
How does the rental process work?
Contact us by phone, email, or through our "Request a Quote" form. Give us the date and location of your event and the number of boards you need. We will provide an itemized quote and our standard rental agreement detailing our terms.
How far in advance should I book?
We recommend booking at least two weeks in advance. Shorter lead times may be acceptable based on availability, but may incur a "rush" fee. We can take requests and reserve boards up to six months in advance.
How many boards can I rent?
You can rent anywhere from a single board to our entire inventory of 36, depending on availability for your dates. Remember, our boards are double-sided, so 36 boards equals nearly 1,300 square feet of usable display space, which is plenty for most events.
What happens if I need to cancel or modify an event?
Cancellations within 72 hours of the event will incur a fee of 5% of the invoice total. Cancellations made more than 72 hours before the event will not incur a charge. There is no additional fee for rescheduling or modifying the event, provided the new dates are available.
Equipment and delivery
What kind of boards do you rent?
Our boards are magnetic dry-erase boards (also called whiteboards, poster boards, or presentation boards). They're a step up from traditional cork or fabric boards — clean, modern, and easy to use. Each one sits on a sturdy rolling frame and flips 360°.
Can I rent boards of different sizes?
All boards are 72" × 36". One size — simple and consistent for your setup.
What is your delivery area?
We're based in the St. Louis metro area and serve the surrounding region. Need something farther out? Ask — we're often more flexible than you might think. Distance is simply factored into the transport fee.
What is included with delivery?
Our board rental fee covers everything to get the boards swiftly and safely to your venue, including transport, as well as all labor to unload, set up, dismantle, and remove after the event.
What happens if a board is damaged?
If a board is lost, stolen, or damaged beyond normal use, we'll charge the replacement cost at current pricing.
Pricing and payment
What does it cost to rent whiteboards?
We charge a flat fee per board that includes delivery, plus a transport fee based on round-trip mileage from our Fairview Heights, Illinois, location. We've factored things like trailer rental, gas, tolls, and parking into our per-mile transportation charge.
Are there any hidden fees?
None. You will receive an itemized quote that will include the board rental fee, the transport charge listing round-trip mileage, and the credit card fee, which will be deducted from the total if you choose another payment method. Once you accept the quote and sign the rental agreement, you're locked in at that price.
Events and uses
Are there any restrictions on use?
Use them however you like — just return them in good condition. They roll best on flat indoor surfaces, and we recommend indoor use only. Perfect for corporate meetings, workshops, classrooms, conferences, brainstorming sessions, and even private events.
How much space will I need?
Each board has a base footprint of 73" × 21" and stands 74" tall. If you plan to flip or use both sides, be sure to allow extra room to move.
